Position Summary\n\nThe Administrative Assistant provides front-line administrative and clerical support. This position serves as the first point of contact for residents, families, and visitors, while supporting daily operations including communication, recordkeeping, scheduling, recordkeeping, and coordination with staff.\n\nThe role is critical to maintaining an organized, professional, and welcoming environment while supporting efficient facility operations and compliance with applicable policies and procedures.\n\nFront Desk and Customer Service\n* Greet residents, families, visitors, and vendors in a professional and courteous manner.\n* Answer and direct incoming phone calls and inquiries.\n* Provide general information regarding facility services and operations.\n* Manage incoming and outgoing mail and deliveries.\n\nAdministrative Support\n* Provide clerical support to the Administrator and facility staff.\n* Maintain schedules, calendars, and meeting coordination.\n* Prepare correspondence, reports, and general documents.\n* Assist with filing, recordkeeping, and document organization.\n\nResident and Family Support\n* Assist with resident paperwork and basic administrative needs.\n* Support communication between residents, families, and staff.\n* Maintain confidentiality of resident information.\n\nRecordkeeping and Compliance Support\n* Maintain organized files for resident records, administrative documents, and operational materials.\n* Assist with document preparation for inspections, audits, and licensing reviews.\n* Ensure records are maintained in accordance with facility policies.\n\nFinancial and Office Support\n* Assist with basic accounting tasks such as:\n* Processing invoices\n* Tracking receipts\n* Supporting billing or payment documentation\n* Maintain office supplies and place orders as needed.\n\nCoordination and Communication\n* Communicate effectively with nursing, maintenance, dietary, and housekeeping staff.\n* Assist with coordination of appointments, services, and internal communications.\n* Support facility events or activities as needed.\n\nKnowledge, Skills, and Abilities\n* Strong organizational and multitasking skills.\n* Ability to communicate professionally with residents, families, staff, and the public.\n* Basic knowledge of office procedures and administrative practices\n* Ability to maintain confidentiality and handle sensitive information.\n* Proficiency with Microsoft Office (Word, Excel, Outlook) and general office software.\n* Ability to work independently and prioritize tasks.\n\nMinimum Qualifications\n* High school diploma or GED required.\n* 2–4 years of administrative or office experience preferred.\n* Experience in healthcare, assisted living, or residential settings preferred.\n* Basic accounting or bookkeeping experience preferred.\n* Ability to pass background screening as required.\n\nPhysical Requirements\n* Ability to sit or stand for extended periods.\n* Ability to use a computer, phone, and standard office equipment.\n* Ability to occasionally lift up to 20 pounds.\n\nWork Environment\nWork is performed in a residential care setting with frequent interaction with residents, families, staff, and visitors. The position requires maintaining a calm and professional demeanor in a sometimes busy or emotionally sensitive environment.
