Hours: 8am - 5pm \n \nThis position is a vital part of the legal team that requires performing various duties in the assistance of attorneys and paralegals to ensure effective client service. This position requires extensive knowledge of the legal system, terminology, and procedures and strong clerical and administrative skills.\n \nTo perform successfully and meet expectations, an individual must be able to perform each essential function satisfactorily. Reasonable accommodations may be made to enable individuals with disabilities to perform essential functions.\n\nESSENTIAL FUNCTIONS\n\n* Support assigned timekeepers as first priority and ensure that all needs are met promptly and accurately.\n* Prepare and process legal documents and correspondence; perform transcription.\n* Electronic filing of legal documents in State and Federal courts in compliance with State and Federal court rules and procedures.\n* Maintain calendars and docket deadlines.\n* Organize, index, and maintain file documents.\n* Open, review, date stamp, and direct mail for assigned timekeepers; scan and save mail in the Firm's electronic case file system.\n* Save email correspondence, RightFax documents, and email court documents in the Firm's electronic case file system.\n* Save outgoing documents in the Firm's electronic case file system.\n* Create, manage, and maintain spreadsheets and Powerpoint presentations.\n* Respond to telephone calls and visitors.\n* Communicate and work with clients, office staff, experts, witnesses, opposing counsel, co-counsel, court personnel, third parties, and vendors, both local and out-of-state.\n* Make travel arrangements and prepare itineraries for assigned timekeepers.\n* Track and submit appeals to accounting for timekeepers.\n* Enter time, process expense reports and perform other administrative duties for assigned timekeepers.\n* Manage case information and stay abreast of new developments and deadlines.\n* Prepare documents/exhibits for reference during oral arguments, mediations, arbitrations and depositions.\n* Submit new file opening requests; prepare physical case files; close files\n* Track CLE for assigned attorneys, maintain records, and adhere to reporting requirements.\n* Perform additional administrative and legal support tasks during staff member absences.\n* Attend monthly LAA departmental staff meetings.\n* Communicate effectively and work well with all Firm personnel in all offices.\n* Work on special projects as directed by leadership.\n\nEDUCATION/EXPERIENCE/CERTIFICATIONS\n\n* High school diploma or equivalent; some college preferred.\n* 3 - 5 years of legal secretarial experience in a law office or other legal setting.\n\nKNOWLEDGE /SKILLS/ABILITIES\n\n* Extensive knowledge of local, state and federal court rules, legal procedures and legal terminology.\n* Extensive experience performing court filing processes in state and federal court, both paper and electronic. \n* Highly organized, detail-oriented, and committed to meeting deadlines.\n* Excellent customer service, interpersonal, and written communication skills.\n* Strong reasoning and problem-solving skills.\n* Ability to multi-task, take direction from multiple individuals and effectively manage competing deadlines.\n* Ability to determine and set priorities\n* Strong typing skills, both speed and accuracy.\n* Strong spelling and grammar skills. \n* Ability to work overtime as needed to meet position requirements, responsibilities, and deadlines.\n* Ability to maintain confidentiality.\n* Ability and affinity for adapting to various personalities and work styles and the ability to produce in that environment successfully.\n\nSOFTWARE:\n\n* Computer with keyboard\n* Telephones\n* Calculators\n* Copiers/Scanners/Printers\n* IManage\n* Microsoft Office 2016\n* Internet Explorer\n* Windows Media Player\n* Olympus DSS Digital Transcription\n* RightFax\n* Nuance\n* Webview/Elite\n* ADP
