* Assists with e-filing for state regulatory proceedings, calendaring deadlines, drafting filings (including redaction of confidential information) and coordinating notice and service requirements, including newspaper publications, messenger, mail, etc.\n\n* Manages outbound discovery and information requests.\n\n* Creates, proofs, redacts and formats documents for e-filings, including managing state regulatory e-filings; saving and organizing e-filed documents into DMS and Sharefile.\n\n* Creates, proofs, redacts and formats correspondence and other documents.\n\n* Assembles complete permitting opinions.\n\n* Maintains Smartsheet schedules.\n\n* Initiates, tracks and provides the necessary follow up on all processes relevant to client file openings and closings, including preparation of client engagement letters, necessary consent and/or waiver forms, file transfers, entry of client information into Interaction and clearing any potential conflicts. Works with intake, conflicts and finance teams to ensure timely file openings.\n\n* Provides administrative support for Attorneys with marketing and business development by preparing marketing and/or promotional materials for new potential\nclients, as well as, scheduling introduction and ongoing check-in meetings, client feedback pitches, master list of regulatory energy matters by calendar year and holiday gift coordination.\n\n* Sets up internal and external meetings to accommodate all parties involved (e.g., WebEx, AV, teleconference, Microsoft Teams, Zoom).\n\n* Enters time for assigned Attorneys, if requested. Creates time reports. Discusses client billing concerns with attorney(s) and works closely with Finance Department to ensure payments are applied to correct client matters. Reviews and revises monthly proformas for attorney(s) for accurate descriptions, transfers, and manages collections.\n\n* Assists with pro bono projects.\n\n* Assists with management of marketing events, including but not limited to Interaction data management and creation of presentation materials in PowerPoint.\n\n* Assists with business travel including, but not limited to, conference registration, hotel and flight reservations and other related accommodations. Maintains deadlines for presentations and related conference materials.\n\n* Assists Attorneys with bar applications. Manages CLE attendance for Attorneys to comply with license rules and regulations.\n\n* Assists and supports other LAAs in the department in executing their tasks and responsibilities due to absence or assistance needed. Ability to work independent and as part of a team.\n\n* Consistently participates in software and other training to enhance skill set.\n\n* Training of other LAAs and team members as appropriate.\n\n* If approved for hybrid remote work, functions as if in the office, has reliable high- speed internet, fulfills all duties and responds to requests in a reasonable amount of time. Answers and makes phone calls and uses firm audio and video-conferencing technology, such as Zoom, and/or Microsoft Teams to provide the best and most efficient communication and service.\n\n* Assumes other responsibilities as assigned or apparent.\n\n* Develops and maintains a cooperative working relationship with members of the firm, clients and other outside contacts.\n \n* Anticipates and balances the workload based upon general guidelines established. Manages short and/or unpredictable deadlines.\n\n* Understands and conforms to firm policies and procedures.\n\n* Understands and utilizes the firm’s resources and technology effectively and efficiently. Develops and maintains a sufficient working knowledge of the organization as a whole.\n\n* Plans, organizes and carries out assigned job responsibilities within established time parameters.\n\n* Confers with supervisors with regard to overtime requirements. Is willing to accept overtime to complete assigned tasks.\n\n* Develops cooperative working relationships with supervisors and other team members in order to anticipate work needs. Prepares in advance to relieve supervisors of as many administrative tasks as possible.\n\n* Maintains confidentiality.\n\n* Uses Firm time conscientiously. Arrives for work on time, does not abuse unplanned time off, and is consistently available.\n\n* Consistently projects a positive, professional attitude and approach to the job, the Firm and team members.\n\n* Responds to requests with a sense of urgency and effectively prioritizes work.
