PROJECT ASSISTANT

$23 - $25/HOUR DOEQ
This position supports company executives and project managers with project coordination from bidding phase through project sign-off. Duties include the independent execution of tasks and projects, research, \ncollecting and analyzing information, as well as creation and management of documents utilizing Microsoft Office and Bluebeam. Independently work on assignments where judgment is required in identifying and resolving problems while demonstrating strong attention to detail and organization. \nPrimary Job Functions: \n• Utilize equipment lists to create project submittal packets for external review through research, \ncollection, and organization of equipment specification sheets. \n• Identify contractual requirements and upload documents into online portal systems for review. \n• Maintain submittal records during various stages of approval process. Track missing submittals and \nother pending items for projects. Follow up with fulfillment requests. \n• Create superintendent field books for project reference during construction phase. \n• Track and obtain project specific documents from vendors and field staff including warranty and manual items. Create operational and maintenance manuals in a structured format for client reference ensuring all pertinent documents are included. \n• Create professional documents for executives and project managers. Includes budgets, proposals, and various pre-bid/post bid documents. Complete and/or coordinate various projects as assigned \n• Archive and maintain high volume of critical electronic records. \n• Assist field staff with various requests. \n• Phone backup when receptionist is not available. \n• Other duties as assigned. \nMinimum Requirements: \n• Minimum of a bachelor’s degree or equivalent experience. \n• Proficient with Microsoft Office and editing pdf documents (Adobe, Bluebeam). \n• Strong oral and written communication skills; strong reading and comprehension skills. \n• Self-starter, reliable, and very organized. Ability to work independently to complete assignments, meet established goals, and to think ahead to anticipate future deadlines. \n• Manage multiple tasks at a time with quick transitions. \n• Previous experience working in a construction environment would be advantageous but not required.
