Pay / Salary up to $25 an hour. DOEQ

* Prepare billing work orders and purchase orders and posting payments to correct accounts.
* Prepares necessary reports such as "Work In Progress", in order to appraise each project in terms of profitability, performance against budget, and other related matters.
* Responsible/Assist for keeping accurate spreadsheets in excel. Must be excel proficient with setting up formulas in excel, as this is needed to do work in progress billing.
* Review and process sub-contractor billings on AIA forms and correspond with subcontractors on discrepancies.
* Responsible/Assist in job cost analysis.
* Responsible/Assist in all phone & email communications with customers, contractors, suppliers, etc...
* Assist personnel in several aspects of the business including our Service Dept to Accounts Payable & Accounts Receivable Dept, and provide Administrative Support to HVAC and Plbg Mgrs.
* Proactively work with Project Managers to set up jobs and review their material/billings.
* Partner with Project Managers/Team when needed , in order to recommend alternate accounting procedures that could improve efficacy and efficiency, including new technology solutions.
* Follow up with customers on requests, such as outstanding issues and resolve payment discrepancies.Back up Dispatcher in scheduling of service calls
* Inventory /Parts Control
* Warranty Submissions
* Gather, maintain and audit information in the database
* Assist in reviewing software system & training documentation
* Other duties as assigned.

Job Qualifications:

* Self–Starter
* Strong Communication Skills
* Customer Service Etiquette
* Accuracy & Attention to Detail with Numbers
* Experience in Bookkeeping
* Extremely Organized and Proficiency in Microsoft Office (Outlook, Excel,Word, Powerpoint)
* Positive Attitude and Ambition to learn, Multi-tasking is a must in a fast paced environment.
* Accounting degree and/or a minimum of 2-5 years in operations accounting experience.
* Construction and Mechanical Services background are a plus, but are not required.
* Microsoft Office: 2 years (Preferred)
* Customer Service: 2 years (Preferred)
* Accounting: 2 years (Preferred)
